How the “Documents” module is arranged in ZenTao and whether it can replace Confluence from Atlassian

Good afternoon! This is Oleksii from GlowByte Soft. We continue to talk about the functionality of the Chinese ITSM platform ZenTao. Today I will briefly explain how the “Documents” module is arranged, which can replace Confluence from Atlassian.

The ZenTao module helps you better manage the documents used by your team, organize effective collaboration, track documentation versioning, and maintain an enterprise Wiki knowledge base.

Features of the “Documents” module

  1. The “Documents” (Doc) module is located in the main menu on the left.

Attached documents (attachments) are automatically grouped by “Product”, “Project”, “Sprint” categories depending on which entity (“Product”, “Project”, “Sprint”) they were attached to.

Let’s look at an example of project documentation.

Select “Additional files” (Attachments). We can choose to display attachments as a list or as cards. By clicking on the Action/Download icon, we can download files.

Clicking on the file name opens a description of the document and the entire history of its changes, with the option to automatically highlight changes between versions.

Simultaneous online co-editing is supported for common file types.

This is how the functionality of automatic archiving of attachments works.

Now let’s go to the main library of documents (Primary Library).

The core library supports a tree-like folder hierarchy for organizing documents. To create new levels, select Manage Category.

In the menu, you can add new folders (categories) for organizing documents.

You can create as many levels of folders (categories) as you need.

You can create documents directly in the system by clicking the Create button.

It is also possible to create documents from templates. For this, you can use a convenient template designer.

Using templates allows you to save time creating standard documents.

Documents can be exported either one at a time or by bulk export of documents from a selected folder.

Library API

The Documents module also has a separate module for storing and organizing documents describing configured API integrations. ZenTao has an open API, and it is convenient to store relevant documentation in the system.

You can also create new API libraries based on customized API integrations for other products and systems.

You can create a new API library by clicking the Create button.

Knowledge Management (Knowledge Management)

Knowledge management is an important functionality of ITSM platforms. For a long time, the leader in this field was Confluence from Atlassian.

To automate the process of knowledge management, ZenTao has the ability to conduct corporate Wiki-portal.

When creating a new page on the Wiki portal, you can set the necessary access rights to the page for users.

When creating a Wiki page, you can conveniently structure the article using sections and subheadings.

Wiki sections, like pages, support a tree-like structure for ease of working with published articles.

You can attach attachments to the created Wiki articles.

The system keeps a history of changes with the ability to highlight the difference between versions.

One of the important differences of the ZenTao platform from other solutions is the presence of a server (on-premise) version. This is especially important for companies that cannot store documents in the cloud due to their activities.
